Start with an authoritative account register

A reliable register identifies the legal customer, site, meter, utility, fuel, tariff, supplier, supply period, notices, and internal owner. Attach the executed agreement and amendments. Record whether the broker can obtain data, communicate with providers, or perform other specific actions. Broad access is not automatically appropriate for every service. Update the register when a location opens, closes, changes tenant, or is sold so procurement does not continue using an obsolete account list.

Enrollment and invoice controls make management visible

Track requested and confirmed effective dates, rejected enrollment reasons, and corrections. The first complete service-period bill should be reconciled against the actual agreement and tariff scope. Review quantities, components, fees, and service dates rather than only the blended bill rate. Define who investigates errors, when disputes are escalated, and what documentation is preserved. A dashboard that merely stores bills without checking them should not be described as active invoice validation.

Define boundaries and compensation

Ongoing services can be included in a commission, charged separately, or provided under another arrangement. Ask for the actual fee structure, supplier relationships, service hours, response goals, and termination process. The broker does not ordinarily control utility outage restoration. Legal disputes, engineering changes, and accounting questions may require specialists. Keep the business’s approval authority clear for renewals, supplier changes, and settlements. Routine administration should not silently grant unrestricted authority to create new obligations.

Practical monthly review

For a small portfolio, a useful monthly review can show new enrollments, unmatched bills, open disputes, account changes, upcoming notice windows, and decisions required from management. If one site closes, the report should link the supplier response and final settlement rather than simply mark the meter inactive. If no issue exists, the record can stay concise. The value lies in traceable actions and correct upcoming decisions, not the number of automated charts or repeated sales messages.

Practical review checklist

  • Agree on the account register, update process, document retention, and narrowly defined access rights.
  • Assign enrollment acceptance, first-bill reconciliation, dispute handling, and site-change responsibilities.
  • Document compensation, service expectations, escalation contacts, and the end-of-engagement handoff.
  • Require explicit business approval for contracts, renewals, material changes, and settlement decisions.

Questions & answers

Does account management include outage restoration?

Usually the utility handles physical outages. A broker may coordinate communication but should define any support accurately.

Can I assume renewals are monitored automatically?

Only if the engagement includes that service and there is evidence of an owned calendar and maintained contact details.
