Create a controlled data register

List entities, sites, meters, fuels, utilities, reporting periods, ownership or control boundaries, and accountable staff. Collect complete bills or approved meter data, identify estimates and gaps, and preserve originals. Record corrections with reasons rather than overwrite history invisibly. Leased and shared buildings need particular attention to who reports which energy. Reconcile totals and use consistent units. A missing gas account or tenant meter can materially change results before any reporting factor is applied.

Keep attributes and emissions evidence linked

For renewable purchases, retain contracts, quantities, resource and vintage details, ownership, and retirement records showing the beneficiary and period. For emissions, record factors, geography, method, standard version, and the treatment of unmatched quantities. Location-based and market-based results should remain distinguishable. A supplier’s marketing certificate may not contain all evidence needed for a company inventory. Avoid treating offsets, RECs, project output, and avoided emissions as interchangeable entries with the same unit.

Explain changes and uncertainty

Consumption can change with weather, hours, occupancy, production, acquisitions, and divestitures. Separate those effects from efficiency and supply-price changes. Identify estimates, methodology revisions, restatements, and limitations. Apply the actual framework or legal requirements relevant to the business, with qualified review where material. GHG guidance and public-claims rules can evolve; record applicable versions and review dates. A procurement summary should not be represented as independently assured reporting unless that assurance has actually been performed.

Practical year-end reconciliation

Before publishing, reconcile the site register to all utility accounts, sum each fuel in consistent units, match certificates to the reporting boundary, and inspect unexplained year-over-year differences. Have someone other than the preparer review a sample back to bills and retirement records. If a site’s data is incomplete, disclose and resolve the gap under the chosen method instead of filling it with an invented value. The process supports credible reporting without claiming a specific certification or universal compliance outcome.

Practical review checklist

  • Maintain complete site, meter, fuel, boundary, period, source-document, and ownership records.
  • Reconcile consumption and preserve estimates, corrections, assumptions, and original evidence.
  • Link renewable and emissions calculations to exact instrument records, factors, methods, and versions.
  • Review changes and public statements, clearly labeling assurance status and unresolved evidence gaps.

Questions & answers

Can a supplier invoice alone prove every renewable claim?

Not necessarily. Attribute ownership, quality, and retirement records may also be required for the intended claim.

Should reporting mix bill savings and emissions reductions?

Track them as distinct outcomes with their own units, baselines, and evidence to avoid misleading comparisons.
